Job Title: RMA/Warranty Parts Administrator
Department: Administration
FLSA Status: Non-Exempt

Summary
Under supervision of the Manager - Spare Parts, Shipping and Receiving, the RMA/Warranty Parts Administrator will be responsible for documenting and processing all warranty forms related to service, as well as processing and assisting with any RMA forms pertaining to customer returned parts. The RMA/Warranty Parts Administrator will also work with the BLM GROUP Service department as needed to track and maintain parts, along with other related duties as needed.
Essential Functions
The duties listed below are the specific duties and tasks that someone in this position must accomplish (i.e. why the job exists.) These are the core responsibilities of the position that cannot be modified or eliminated. • Completes all RMA forms from Customers, related to returned parts
• Assist all Customers as needed with part returns
• Receives all returned parts, identifies disposition, and completes RMA forms
• Processes RMA information using BLM GROUP software (SAP + Kardex)
• Coordinates internal and external repairs for returned parts
• Leads Bi-weekly meetings with the Service department on warranty parts sent to customers, which will need to be returned
• Follow up with customers for parts sent under warranty, no less than weekly
• Weekly returns status reporting to manager
• Inventory variance report discrepancy reconciliation, no less than weekly
• Serve as backup to order processing/order picking to cover days off and heavy workload
• Other duties as assigned by management
Education and Experience
• High School Diploma or similar required
• A minimum of two (2) years of experience in customer service
• Previous shipping and receiving- or warehouse-related experience preferred
Licensing/Certifications
• A clear driving record containing no more than two (2) minor moving violations in three (3) years and no major violations in the last seven (7) years
Knowledge, Skills, and Abilities
• Customer service ability, and able to effectively communicate to customers as needed
• Ability to multi-task and work with minimum supervision
• Able to communicate effectively both verbally and in writing
• Able to follow both verbal and written instructions
• Well organized and extremely detail oriented
• Familiar with Microsoft Office suite (Word, Excel, Outlook)
• Familiar with SAP software
• Able to work effectively with minimal supervision
• Effective time management skills
• Able to effectively work with all levels of team members and all types of customer personalities
